Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our Chief of Staff. This role requires discretion, exceptional organizational skills, and the ability to handle multiple priorities in a fast-paced environment. The ideal candidate will demonstrate initiative, critical thinking, and a positive attitude, ensuring day-to-day operations are seamless and efficient.
Key Responsibilities:
· Manage and prioritize the Chief of Staff’s calendar.
· Prepare and edit correspondence, reports, presentations and other documents with meticulous attention to detail.
· Anticipate needs and take initiative to resolve issues proactively.
· Coordinate meetings, including agenda preparation, note-taking, and follow-up action items.
· Handle sensitive information with confidentiality, discretion and professionalism.
· Assist with special projects and cross-departmental initiatives as needed.
· Demonstrate critical thinking to solve problems and improve processes.
· Perform other administrative duties to ensure operational efficiency.
Qualifications:
· Proven experience as an executive assistant or in a similar administrative role.
· Discretion and confidentiality are paramount.
· Excellent organizational, time-management and attention to detail.
· Strong critical thinking and problem-solving abilities.
· Ability to take initiative and work independently with minimal supervision.
· Excellent communication (written and verbal) and interpersonal skills.
· Positive attitude with a professional demeanor.
· Ability to handle multiple priorities with efficiency and composure.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), familiarity with collaboration tools (e.g., Teams) and creating and editing organizational charts.
